Annual Owners Meeting

Meeting called to order

12/8/2021 @ 7:16 PM

Quorum of over 19 owners confirmed (192-5 ineligible to vote= 185 so quorum is 19. There were 15 present in person and 8 proxies=23)

Read/Approval of Minutes from Dec 2020 Meeting:

Allowed to read meeting minutes from 12/7/2020 

Meeting minutes - Greg Stern motioned to approved, Abby Herandez seconded the minutes, all of quorum gave approval

Treasurer’s Report Review Board Approved 2022 Budget:

Abby reviewed through the budget for the quorum 

Explained the change of the contest award payment, gift cards vs credit of accounts.

Explained the Correction line of the budget, place holder for a bug in the system when moving funds from savings to checking to pay invoices to correct a formula pulling wrong to summary.

Explained the variance of income shown when people pay dues in the previous year for the current year.

Talked about the level of reserves.

Of the quorum the budget was unanimously approved (since 51% of all owners did not vote it down it automatically ratified but all owners on call approved.

Vote to wave the audit - Greg motioned to approved, Abby seconded the minutes, 81% pass in quorum (67% needed to waive audit--audit for 2021 tax year will be waived)

HOA Manager’s Report:

Number of homeowners in arrears is going down again this year. Currently 5, last year was 9 and the year before was 26.

Old Business:

Tree pruning done 

Leaks of irrigation system

New landscaper hired and started 12/1

Fence repairs and maintenance, looking at replacing in sections as fail and per a maintenance plan.

Reserve plan was shared with quorum

New Business

Board member elections

                Michelle Mercado stepped down as it was the end of her term 

                Filling for two positions, Michelle's and Amanda Gate's which was vacated

                                VP/Secretary – 

                                Director at Large/ACC chair - 

Jason Burt volunteered as board member, Brittany McLean motioned to approve and 100% of quorum approved.

Have a new landscaper under contract and they are already looking into cost savings for us and how to better our site. Question about work on 238th, our new landscaper will have some focus.

Park lighting continuing to look into more options to better the light levels of the park.

Trespass agreement renewed with KC Sherriff for 2 more years.

Fence repairs and maintenance, looking at replacing in sections as fail and per a maintenance plan.

There was a question about a flashing speed limit sign on 244th. The Board will reach out to the City Planning Department

Michelle used an online randomizer to choose a winner from the quorum present for 100% dues equivalent gift card full quorum. Brittany pulled from a cup for the 50% dues equivalent gift card.
